1. Introduction

Mawgood explains here how account, attendance and payroll information is collected, used, stored and disclosed when you use the service.

By using Mawgood, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following types of information:

  • Personal Identification Information: Name, phone number, email address, employee ID, company name, and job title.
  • Employment and payroll: Salary, allowances, deductions, advances, leave, employment details and identity documents/identifiers where supplied through company-enabled features.
  • Attendance Data: Check-in, check-out and break records, verification photos when enabled, and location coordinates submitted with attendance actions.
  • Telegram Bot Data: Telegram user ID, Telegram username, messages sent to the bot for attendance check-in/out, and any photos shared via Telegram for verification.
  • Mobile App Data: Browser/device information, session identifiers and local storage support the app and pending offline attendance. Foreground location and camera access depend on permissions and company settings.
  • Android App Data: The Mawgood Android app uses Google Firebase to deliver notifications. For this, it registers a Firebase installation ID, which we link to your account on our servers. Notification text is generic and does not include payroll or attendance details. The Android app does not use Google Analytics or crash-reporting tools.
  • Fingerprint Hardware Data: Connected scanners send device identifiers, employee punch codes, timestamps and operational diagnostics. The attendance integration does not upload fingerprint images or templates.
  • Usage Data: Page visits, interactions, browser/device information, analytics identifiers and operational/security logs.

3. How We Use Your Information

We use the collected information for the following purposes:

  • To provide, operate, and maintain our attendance tracking and payroll services.
  • To associate attendance with employee accounts, review photos and check workplace proximity. Fingerprint matching is performed on the connected hardware.
  • To calculate payroll, including salaries, overtime, deductions, and bonuses.
  • To communicate with you via Telegram for attendance notifications and alerts.
  • To improve our platform and develop new features.
  • To comply with legal obligations and enforce our Terms of Service.

4. Data Storage and Security

Mawgood stores account, attendance and payroll records on its hosted service. Company permissions control access. Authorized platform operators and service providers may process data to operate, secure and support the service. Security controls include:

  • Encrypted transport connections (SSL/TLS HTTPS) protecting data in transit.
  • Passwords are stored using one-way password hashes.
  • Company-scoped access controls and role-based permissions.
  • Secure session management with HTTP-only, SameSite secure cookies.
  • Security maintenance and backups to support service protection and recovery.
  • Automated firewall protection, rate limiting, and DDoS mitigation.

5. Data Retention

We retain records while needed to provide the service, resolve requests, protect accounts or meet applicable recordkeeping obligations. Deactivation does not automatically erase employment or payroll history. Request deletion through /delete-account or [email protected]; required records and backups may remain subject to the applicable retention process.

6. Data Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share information only:

  • With your consent.
  • To comply with legal obligations or court orders.
  • To protect our rights, property, or safety.
  • With service providers including Hetzner for hosting, Google Analytics for usage measurement and Google Firebase for Android app notifications. Telegram processes data sent through its attendance integration. When cloud document OCR is enabled and configured, identity-document photos may be sent to Google Gemini to extract document details.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • The right to access your personal data.
  • The right to rectify inaccurate or incomplete data.
  • The right to request deletion, subject to applicable record-retention requirements.
  • The right to restrict or object to processing.
  • The right to data portability.

8. Biometric Data

Connected fingerprint hardware handles fingerprint matching and template storage under its settings. Mawgood receives attendance punch records rather than fingerprint templates. Photos uploaded through mobile attendance and personnel features are separate personal data used for those workflows.

9. GPS Location Data

Location is accessed in the foreground for workplace proximity and attendance validation. Coordinates submitted with attendance are stored with its record and protected by company-scoped permissions. Mawgood does not request continuous background location tracking when closed.

10. Telegram Bot Data

When you use our Telegram bot for attendance check-in, we receive your Telegram user ID, username, and any messages or photos you send to the bot. This data is used exclusively for attendance tracking and identity verification. We do not access your Telegram contact list or messages outside of the bot.

11. Cookies and Analytics

Essential cookies and local storage support login, preferences and offline attendance. Google Analytics loads on the website and mobile web app and can process page/interactions, browser/device information and analytics identifiers under Google settings and policies. We do not intentionally include attendance photos, payroll records or fingerprint templates in analytics events. Manage site storage through browser settings.

12. Changes to This Privacy Policy

We may update this policy by publishing the revised wording and updating the date on this page.
